Job Title: Personal Assistant (one month renewable contract)

PURPOSE
To provide administrative, financial and organisational support to the University of Liverpool projects in Freetown.
MAIN DUTIES
ADMINISTRATION
-
To provide administrative and logistical support .
-
To follow up on the issuing of invoices from the supplier and payment of the invoices for University of Liverpool Projects
-
To arrange meetings and conference calls, including room booking and catering.

To act as secretary to Dr. Scott for meetings; drafting agendas, supporting papers and minutes.
-
To arrange the printing and duplication of documents.
-
A flexible attitude towards working roles is needed in this quickly evolving environment.

To develop an effective working relationship with Administrators based within GOAL and World Vision.
ASSET MANAGEMENT
-
To keep accurate records of the maintenance, repairs and service of assets including the office, wifi and generator

To ensure that there is a record of the deployment ofUoL lap tops and telephones
-
To facilitate is necessary and administer a closed user group for sim cards in UoL telephones and those of collaborators.
FINANCE
-
To keep record of all UoL purchases
-
To submit and document expense claims
-
To assist in administration of grant lines.
PREMISES
-
To provide support in opening and closing the UoL offices and trial sites
-
To prepare office refreshments purchase requests on a timely basis
GENERAL
-
To collaborate with UoL staff and staff from UoL partner organisations.

To undertake such other tasks as may reasonably be expected by UoL staff.

To initiate and recommend improvements to the day-to-day running of the UoL office.

Promote UoL, its core values and services, and play a positive role in the delivery of its day-to-day operations and strategic goals.
PERSON SPECIFICATION
Diploma in Business Administration OR accepted equivalent professional experience. Minimum of 2 years professional experience in relevant sector. Some experience of staff management and staff training, development and evaluation skills. Experience with community and government sectors essential for corresponding post. Report writing experience essential. Proficient in English and other national languages necessary. Good computer skills required. Good team player, prepared to take a flexible attitude to work and take on tasks as required .
PLACE OF WORK: Liverpool Office 24A King Harmen Drive, Freetown, but available in other sites as needed.
HOURS OF WORK: 8am to 5pm Monday to Friday – some flexibility may be required.
TRANSPORT: Own transport is an asset. Reasonable fuel expenses will be considered.
