Job Title: Office Manager

Responsibilities:

  • Organising and overseeing the general day-to-day procedures within the office to ensure processes and policies in the workplace flow efficiently.

  • Management of supplier contracts, such as office space, fleet management services, utilities and houses.

  • Ensure all suppliers have undergone due diligence checks, via the London Legal and Compliance team.

  • Ensuring team members in-country have the correct and in-date visa / work permit.

  • Handling the collection and distribution of project cash.

  • Maintaining the project finance tracker and petty cash tracking

  • Management of the project Satellite phone, ensuring it is always loaded with credit and operational.

  • Ensure all staff contact details and emergency information and contact person are up to date

  • Office and accommodation maintenance.

  • Provide support for TBI staff visiting the country Inc. providing pre-arrival security and logistics information and visa support as required.

  • Ensuring payments made by London are sent in a timely manner on the payment tracker

  • Ensure cash requests for bank transfer are completed and submitted before limited cash level is reached

 

Main Duties:

  • Control of office stationery and other office consumables

  • Petty cash management and management of payments in-country and through London

  • Support new starter requirements: securing local sim cards prior to their arrival, business card request, pre-arrival welcome information

  • Find appropriate housing for relocated staff and support maintenance of TBI managed properties

  • Liaise with TBI central services teams in London, to coordinate tasks such as the shipment of IT equipment, due diligence checks and signing of contracts.

  • Support with the preparation of visit from international guests

  • Act as the main contact for key suppliers and service providers to the project team

  • Support Country Head as necessary for team events or visitors to country

  • Provide administrative support to the Country Head, as required

  • Carry out security lead duties required in country and support all security tasks required by the Regional operations and security manager and London security team

Key Requirements:

  • Capable in using email

  • Excellent skills in Microsoft excel and word

  • Strong understanding of local banking needs

  • Willing and able to move around in local transport

  • Able to coordinate and manage local suppliers

  • Proactive

  • Professional and able to maintain confidentiality

  • Able to efficiently manage daily tasks and prioritise as necessary
