Job Title: Meeting and Events Coordinator

ROLES AND RESPONSIBILITIES

Actively promoting and selling the facilities through client Site Inspections and familiarisation events.

Communicating and planning with the Food & Beverage Operations Teams to ensure high quality standards are maintained.

Being a point of contact and welcoming the guests to the hotel during their function.

Utilising guest feedback developing services and procedures to enhance guest satisfaction.
-
Maximising hotel revenue and guest satisfaction by ensuring accurate and effective processing of conference bookings, private functions and weddings.

Achieves budgeted goals by executing sales activities.

Makes at least 13 sales calls per week, included in the number is site inspections, follow ups.

Assists in the completion of reports

Maintains effective internal and external communication.

Prepares proposals with the Director of Sales that are geared to maximize profit while satisfying guest needs.

Uses outside sales calls to solicit existing and new guests

Contacts in-house guests to foster additional business, repeat bookings, or referrals
-
Communicates guests’ requests to all departments in an effective and timely manner.

Ensures maximum occupancy on a daily basis by performing follow ups on progress of groups and other business booked.

Communicate requests for special accommodation and suites.
-
Prepares accurate forecasts as requested.

Pre-blocks all special requests or VIP accommodations accurately.

Keeps Sales Department informed of group booking status.

Communicates with Front Office Manager for VIP’s appropriate treatment.

Ensures all reservations are tracked correctly for statistical purposes.

Liaises with the Accounts Payable Department regarding credit issues.

QUALIFICATION AND EXPERIENCE

Higher National Diploma or higher in a commercial or a related discipline

At least three years of work experience

Good understanding sales and marketing principles and techniques

Competency in Microsoft Word, Excel and Power Point
-
Prior experience within the hospitality industry could be an added advantage
